Asset maintenance software: every device, on the record.

Maintenance Partners is asset maintenance software for Australian service contractors: an asset register with a digital logbook for every device you maintain, planned maintenance schedules that generate the work, evidence captured in the field, and defect to quote to invoice in one thread. The asset is the centre of the data model — everything else hangs off it.

The machine

How asset-centred maintenance works

A logbook per device

Every asset carries its identity, location, model and complete service history — every inspection, reading, defect and repair, in order, forever. The history survives technician turnover, office turnover and contract handover, because it belongs to the asset, not to a person's memory.

Planned maintenance that generates itself

Attach a schedule to the asset — the interval your contract, the manufacturer or the standard prescribes — and the work orders appear when they fall due, with the right checklist attached. Preventive maintenance stops being a spreadsheet someone has to remember to read.

Field capture, offline first

Technicians work the checklist at the asset on iOS or Android — scan its barcode or QR tag to open the record, or scan an unknown tag to create the asset on the spot, then readings, photos, pass/fail, signatures — with no dependence on coverage. The office sees results as they sync, not when the paperwork surfaces on Friday.

The commercial thread

A failed item becomes a defect, a quote, a work order and an invoice without re-keying, wired into Xero, MYOB and QuickBooks — and your clients pull their own registers and reports from the portal instead of ringing the office.

Why this machine

Proven where the audits are hardest

Asset-centred maintenance is not a feature we added — it is the platform. Maintenance Partners was built by the people who train and certify Australia's fire protection industry, where AS 1851 makes the asset register and its history a legal artefact, and that same rigour now runs HVAC, test and tag, security and every other register-driven trade. The price is published: $150 per user per month ex GST, every module included.

No contest

What the generic tools cannot say

Generic job-management software treats planned maintenance as repeating calendar entries. Maintenance Partners was engineered for regulated recurring service against a register, and the differences are structural — none of them can be bolted onto a booking tool.

The schedule is computed, not typed in

There is no "repeat every 12 months" job to set up and babysit. Each asset carries a service programme, due dates are computed from the register, a larger service falling near a smaller one absorbs it into a single visit, and completing it re-anchors everything beneath. You maintain the asset register — the schedule follows.

It can prove you were late

A completion-anchored schedule — what everyone else ships — moves the next due date when the work is done, so it is structurally incapable of showing a breach. Maintenance Partners also measures every asset against the fixed grid its programme implies, separating work done late from work never done. That is a register you can hand to an auditor.

Offline is a replica, not a cache

"Works offline" usually means a form that holds its submission until the bars come back. The field app carries a full replica of the technician's work — the entitled register, its histories and its checklists, in their pocket — and a technician can be a fortnight out of coverage without losing a thing. A basement with no signal is a normal working day.

Stock ordered against what is due

Inventory tools guess demand from what ran out last quarter. The service programme already knows twelve months of coming work, so the parts forecast is read from what is actually due — vans and stores stocked for the schedule, not for history.

Questions

Asset maintenance questions, answered.

What is asset maintenance software?

Software that holds a register of the equipment you are contracted to maintain — each asset with its own identity, location and service history — and turns your maintenance obligations into scheduled work automatically. In Maintenance Partners the register is the centre of the product: inspections, defects, quotes and invoices all hang off the asset, so the history reads like a logbook rather than a pile of disconnected jobs.

Which trades use Maintenance Partners for asset maintenance?

Fire protection is where the platform was forged, and the same machine runs HVAC and mechanical services, electrical test and tag, security systems, and any contractor whose work is recurring service against a register of equipment. Businesses that span several of these trades run them all in one licence.

How much does asset maintenance software cost?

Maintenance Partners is $150 per user per month ex GST ($165 inc GST) with every module included — field app, office portal, asset registers, scheduling, quoting, invoicing, client portal and integrations. No tiers, no add-ons, and volume discounts for larger teams are shown before you pay anything.
